TORO Promotions — Buy X Get X Free Deals

TL;DR

Buy 3, get 1 free — set it up once and the register does the rest. TORO Promotions runs your deals automatically: it watches every sale, counts the qualifying items, and comps the right one without the cashier doing anything. You can point a deal at your whole store, one brand, a product type, specific items, or items carrying a tag — and schedule it for a weekend, a happy hour, or the whole month of September. It's $149.99 per year — billed on your signup anniversary, so start in March and you're billed each March — with a 14-day free trial that includes everything and rolls into the subscription automatically. The wizards mean your first deal is running in about two minutes.


Where to find it: Dashboard → Modules & IntegrationsTORO Promotions (it's also on the Transactions tab as Promotions). The first time you tap it, TORO offers the free trial — start it and you're in.

Setting Up Your First Deal

The Promotions screen opens with a set of ready-made deals. Each one walks you through a few plain questions — one page at a time, mostly Yes or No, with the usual answers already filled in. If you just tap Next the whole way through, you get a sensible deal.

  • Buy X, Get X Free — same item only: buy 3 of one cigar, the 4th of that same cigar is free.
  • Buy X, Get X Free — Mix & Match — anything in the store counts toward the deal.
  • Deal by Tags — items carrying a tag you choose qualify, or are kept out.
  • Deal on a Brand — everything in one or more brands.
  • Deal on a Product Type — a whole department: Cigar, Drinks, Accessory.
  • Deal on Specific Items — pick the exact items that qualify.
  • Build Your Own — every setting on one screen, for deals the wizards don't cover.

Every wizard asks the same short list of questions: what the deal is called, the buy-and-get numbers, whether it only runs between certain dates, on certain days, or during certain hours (a happy hour is "4:00 PM to 6:00 PM"), whether packs count or singles only, whether to limit how many free items one sale can earn, and whether already-discounted items count. The last page restates the whole deal in a sentence before you tap Create Deal.

View / Edit Existing Deals lists everything you've made. The Running now column answers the question that matters — "is this deal on right now?" — not just whether it's switched on. A deal that's on but outside its dates says No.

The Full Editor

Build Your Own (and editing any existing deal) opens the full editor. A few things worth knowing:

  • Which items qualify works in two steps. The INITIAL GATE builds the list: your Product Types, and a combined Brands or Items list where anything in either counts — an item never has to be in both. A Yes/No choice says whether an item must also be in the Product Types you picked. The FINAL GATE filters that list with tags: Only items with these tags, and Never these tags.
  • Excluded tags have two modes: Leave them out completely, or Count them, but never discount them — a tagged cigar still helps the customer reach the buy number, but the free one always comes from full-price stock. Use that for your expensive sticks.
  • Test an item... is the fastest way to check a deal: pick any real item and TORO shows every gate it passes or fails, ending with whether it counts toward the deal and whether it can be the discounted one.
  • The discount doesn't have to be free — type any percentage from 1 to 100. 100 is free; 50 runs "buy one, get the second half price."
  • Largest pack stops a 20-count box from triggering a buy-five deal on its own. 1 means singles only.
  • Limit per sale caps how many items one sale can get discounted, however much qualifies. Blank means no limit.
  • Ignore item maximum discounts is ticked by default and needs a manager. Most product types carry a 25% maximum discount to protect against over-discounting by hand — a free-item deal has to be allowed past it, or TORO would cap your "free" cigar at 25% off.

What the Cashier Sees

When a sale earns a deal, the discounted line shows a purple promo pill — a fully comped item reads P-FREE. Right-click (or long-press) the pill and TORO shows the deal by name with three groups: what was discounted, what counted toward the deal, and what counted but can never be the free one. A line that put two items toward the deal reads "counted x2."

The register recomputes on every change. If the customer puts back one of the items that earned the deal, the free item goes back to full price on its own — no cashier math, no forgotten comps.

One honest note about taxes: some tobacco taxes are charged per stick or on cost, not on the price. A free cigar can still show a few cents of that tax, because the tax law doesn't care that you comped it.

The Header Deal Chip

When a deal is running, the top of the register shows a chip: DEAL ON NOW — Buy 3, Get 1 Free. In the last hour before a scheduled deal starts it counts down — DEAL STARTS IN 5 MIN — and further out it shows the start time or date. Two or more deals running at once read 2 PROMOS — Click to View.

  • Tap the chip for the customer card: every running deal by name, what it does, when it runs, what qualifies, and the restrictions — the thing a cashier reads out loud when someone asks "what's the deal?"
  • Right-click / long-press asks for a password and opens the deal for editing. With one deal running it opens that deal; with several it opens the list. It always asks — it never borrows the login of whoever is ringing the sale.

How Deals Play With Other Discounts

  • Member and automatic discounts: your choice, per deal — the "items that already have a discount can count" boxes. When they do, the line shows both: the member discount and the deal, each with its own amount.
  • Coupons: an item a coupon has been applied to never joins a deal while that coupon is on the sale, whatever the boxes say. And a coupon marked "no other discounts" switches deals off for that whole sale.
  • Hand-entered discounts and employee discounts: never — the cashier has spoken.

Refunds

Refunds are smart about deals. If a return brings back the items that earned a deal while the customer keeps the item the deal discounted — return the six paid cigars, keep the two free ones — TORO warns the cashier, names the kept items and what the deal took off them, and records the decision in the refund notes. The cashier can still proceed; TORO just makes sure it's on purpose.

If Something Looks Wrong

  • A deal isn't firing: open View / Edit Existing Deals and check the Running now column. A deal can be switched on and still outside its dates, days, or hours. Then use Test an item... on the exact item in question — it shows which gate is stopping it.
  • The tile shows a padlock: the module isn't active on this store yet — tap it to start the trial or subscription.
  • "This module is not available at this time": contact TORO support — this means the module's setup on our side needs attention, not anything you did.
  • A "free" item shows a few cents of tax: that's a per-stick or cost-based tobacco tax, which applies even to comped items. See the tax note above.
