The Account Change Log

Where to find it: For one person, open their Account Details screen and click Change History. For everyone, go to the Dashboard and click Customers or Employees, then Account Change Log.

Every shop has had this conversation. A regular insists his discount used to be 20%. An employee's access level is suddenly higher than you remember setting it. A charge that was sitting on someone's account isn't there anymore. Nobody's lying — people genuinely misremember, and busy shops have a lot of hands on the keyboard.

TORO now writes all of it down. Any time somebody changes something about a customer or an employee, TORO records what it was before, what it is now, who did it, when, and which register they were standing at.

Looking up one person

This is the one you'll use most. Pull up the customer or employee, open Account Details, and click Change History.

You get their whole timeline, newest first. If that person is also an employee, their customer changes and their employee changes appear together in one list — because they're one person, and splitting it in half would just make you look in two places.

Looking at everyone

When the question is "what did anybody change this week," use the Account Change Log on the Dashboard. It's on both the Customers and Employees tabs, and each one opens focused on its own people. Open it from Employees and you're looking at employee records; switch the Show dropdown to Both or Customers any time you want to widen it.

Pick your date range at the top and click Search. Everything else narrows what's already on screen, instantly.

Narrowing it down

Show — Customers, Employees, or Both.

Category — groups the dozens of individual fields into plain buckets, so you can ask a real question instead of scrolling. Dates, Discounts, Money and Balances, Contact Information, Security and Access, Payment Methods, Notes, Receipts and Messaging, Account Settings, and Employee Settings.

Changed By — one employee's handiwork, everywhere.

Search — type anything. A customer's name, a field, an email address, a dollar amount. It looks across the whole row.

Combine them freely. "Every discount change made by Maria last month" is three clicks.

Clear Filters puts you back where you started — so clearing on the Employees tab still leaves you looking at employees.

Reading a row

What Changed is the field or the event. Before and After are exactly that. When something was added that wasn't there before, Before reads (not set); when something was taken away, After reads (removed). No guessing at blank cells.

Changed By is the employee. If a customer updated their own details at the customer-facing screen, it says Customer. If TORO did it on its own — a scheduled job, an automatic renewal — it says TORO (Automatic), because pinning that on whoever happened to be at the register would be worse than saying nothing.

Where tells you which screen it came from, and Station which register.

What gets recorded

Just about everything on the Account Details screen: names, email, phone, addresses, birthdays and anniversaries, membership level, rewards program, discount bands, account notes, receipt and texting preferences, the on-account credit limit, and the account PIN.

On the employee side: employee ID, access level, whether they're active, their PIN, and their settings — pay rate, comp limit, discount limit and the rest.

And the things that aren't really "fields" at all: a card on file added or removed, gift card funds loaded, and an item taken off somebody's account balance. That last one matters — removing an account item lowers what a customer owes without any money changing hands, so it's worth having a record of who did it.

What TORO deliberately doesn't record

PIN changes are logged, but the digits never are. You'll see that a PIN was changed, by whom and when, with the value shown as ****. The point is accountability, not building a list of everyone's PIN that anybody with the screen open could read.

Cards work the same way. You'll see "VISA ending in 4242 removed" — never a card number.

Getting it in a report

There's a Profile Changes report in the Advanced Reporting Module, under High Risk. Same information with the same filters, plus a CSV export, and because it's an ARM report you can put it on a schedule and have it emailed to you.

It also flags the changes worth a second look — money, cards, PINs, access levels, discounts — so you can pull just those.

One thing to know

TORO starts recording the day this update reaches your store. There's no history for changes made before that, so the log will look empty at first and fill in as people work. That's expected — give it a week.

If Change History or Account Change Log doesn't appear for you, it's an access-level thing. Whoever manages permissions for your store can switch it on, or give us a call.
