TORO has a built-in time clock, so you don’t need a separate punch system hanging on the wall. Employees clock in and out right from the POS, and everything feeds directly into payroll reports, tip tracking, and labor analytics.
Clocking In #
- Tap Clock In from the main screen
- Enter your employee PIN
- You’ll see your name, employee ID, and the current date and time
- TORO automatically rounds to the nearest 15 minutes — so if you clock in at 9:07, it records 9:00. Clock in at 9:12, and it rounds to 9:15. This keeps payroll clean and consistent.
- There’s an optional Notes to Manager field (up to 200 characters). Running late because of traffic? Jot it down here. Your manager sees these notes in the time clock reports.
- Tap OK and you’ll get a confirmation: “Enjoy your shift!”
Already clocked in and accidentally tap it again? TORO catches it and lets you know you’re already on the clock. No double punches to clean up later.
Clocking Out #
- Tap Clock Out from the main screen
- Enter your PIN
- The current time shows up, auto-rounded to the nearest 15 minutes just like clocking in
- Add optional notes if needed
- Tap OK
- TORO asks: “How much did you make in cash tips?” Enter the amount, or $0 if you didn’t receive any. Credit card tips are calculated automatically from your transactions, so you only need to report cash here.
- If you have open tabs still assigned to you, TORO gives you a heads-up to close them out before you leave
Late clock-outs: If you’re clocking out more than 15 minutes after the store’s official closing time, TORO asks whether to set the time to 15 minutes after close or let you provide a reason for the late punch. This prevents accidental overtime from forgetting to clock out.
For Managers: Clocking Out Everyone #
At the end of the night, someone has to make sure no one’s still on the clock. Here’s how:
- From the Clock screen, you’ll see the Clocked In Employees list showing everyone still punched in
- Select All to grab everyone, or pick individuals
- Tap Clock Out Selected Employees
- Enter a time and cash tips for each person
Every employee must be clocked out before you can close the drawer for the night. TORO enforces this — if someone’s still technically on the clock, you’ll need to handle it before closing.
For Managers: Adjusting Times #
Sometimes a punch needs fixing. Someone forgot to clock in, or clocked out at the wrong time.
- Tap Adjust Time on the clock in/out screen
- This requires the AC_EMPLOYEE_CLOCK_IN_OUT_OVERRIDE permission — not everyone can do this
- A date and time picker appears where you can set the corrected time
- The adjustment is logged as an Admin Override, recording the manager’s name, the employee’s name, and the original time
These adjustments aren’t invisible. They show up in the Time Clock Edits Report, which flags any edit greater than 15 minutes. This protects both the manager and the employee — everything is documented and auditable.
Things to Keep in Mind #
- The time clock is completely separate from the cash drawer. Clocking in doesn’t open the drawer, and opening the drawer doesn’t clock you in. They’re independent systems.
- All clock data feeds into payroll reports, including total hours, cash tips, credit card tips, and commission calculations.
- If an employee never clocked in but needs to clock out, TORO won’t allow it — a manager will need to add the missed clock-in first.
- Multiple employees can be clocked in at the same time on different stations, or even the same station. TORO tracks it by employee, not by register.
